Terms and Conditions
This page sets out the conditions applicable to appointment bookings at Ocnos Psychology Clinic, including session confirmation, payment of online sessions, cancellations, no-shows and punctuality policy. These conditions help us manage the schedule responsibly and protect the therapeutic process.
1. Purpose and scope
These Terms and Conditions govern the booking, modification, cancellation and provision of appointments at Ocnos Psychology Clinic, for both in-person and online sessions, unless expressly stated otherwise.
Booking an appointment through any of the channels made available by Ocnos Psychology Clinic implies that you have read and accepted these conditions.
2. Appointment bookings
Appointments may be requested through the contact or booking channels made available by Ocnos Psychology Clinic. The availability of date and time will always be subject to the professional schedule and final confirmation of the appointment.
In the case of online sessions, the booking will not be considered fully confirmed until advance payment has been received in accordance with these conditions.
3. Payment for online sessions
Online sessions must be paid for in advance using the payment link or payment method provided when the appointment is arranged.
In order for the session to be confirmed, payment must be made at least 24 hours in advance. If payment has not been made within this period, Ocnos Psychology Clinic may treat the session as unconfirmed and release that appointment slot.
4. Cancellation and changes policy
4.1. Cancellation or rescheduling with sufficient notice
In-person sessions may be cancelled or rescheduled free of charge provided that at least 24 hours’ notice is given.
4.2. Late cancellation
A late cancellation is any cancellation made with less than 24 hours’ notice before the scheduled appointment time.
Late cancellations will result in the full session fee being charged, and this amount will remain payable in all cases.
4.3. No-show without prior notice
A no-show is understood as failure to attend the appointment without prior notice. No-shows without prior notice will also result in the full session fee being charged.
Where there have been two or more late cancellations or unjustified no-shows, no further appointments will be scheduled while any session fee remains outstanding.
5. Punctuality policy
Punctuality is important in order to respect therapeutic time and avoid affecting later appointments.
- The maximum waiting time will be 15 minutes.
- If the delay is up to 15 minutes, this time will be deducted from the total session length.
- The session will in all cases finish at the originally scheduled time so as not to disrupt the running of the diary.
- If the patient arrives more than 15 minutes late, the session will be considered not to have taken place for clinical purposes and the full session fee will be charged, except in cases of duly justified force majeure.
6. Force majeure
Situations of force majeure may be considered on an exceptional basis, subject to the provision of appropriate supporting documentation where reasonably necessary.
These circumstances will be assessed case by case, taking into account the nature of the incident, when it is communicated and whether it can be properly evidenced.
7. Confirmation and acceptance of the conditions
Booking an appointment implies acceptance of these Terms and Conditions.
Where the booking is made via a form, external platform or appointment management system, confirmation by the user will be deemed to constitute express acceptance of these conditions.
8. Personal data protection
The processing of personal data relating to appointment management, communications and professional care shall be governed by the relevant Privacy Policy.

9. Changes to these conditions
Ocnos Psychology Clinic reserves the right to update or amend these Terms and Conditions whenever necessary for organisational, technical, legal or operational reasons.
